NextFact User Guide

Introduction

NextFact is a professional invoicing and client management system designed to streamline your billing process. This visual guide will walk you through the main features of the application using actual screenshots of the interface.

Dashboard Overview

The Dashboard provides a quick overview of your invoicing activity:

• Company Information: Your business name, slogan, and contact details
• Key Statistics: Total, Paid, and Pending invoices
• Recent Invoices: List of your most recent invoices with status
• Quick Actions: Shortcuts to common tasks (Create Invoice, Add Subuser, Tenant Settings)

Creating Invoices

To create a new invoice:

1. Click "Create Invoice" from the dashboard or sidebar
2. Select your tenant (if you're an admin)
3. Choose an existing client or create a one-time invoice
4. Fill in the client information fields
5. Add invoice items with description, quantity, and price
6. The system will automatically calculate the amount
7. Use the "Add Item" button to add more items
8. Check "Exclude tax from this invoice" if needed
9. Add optional notes at the bottom
10. Click "Create Invoice" to finalize

Managing Invoices

The Invoices page shows all your invoices with:

• Invoice number
• Client name
• Amount
• Date
• Status (Pending or Paid)
• Action buttons

Viewing Invoice Details

When viewing an invoice, you can:

• Share: Create a public link to send to your client
• Download PDF: Get a PDF version of the invoice
• Send Reminder: Send a payment reminder to the client
• Pay This Invoice: Button visible to clients for making payments

The invoice details page displays:

• Your company information and logo
• Client billing information
• Invoice items and amounts
• Subtotal, tax, and total amounts
• Creation information and status

Client Management

The Clients page allows you to:

• View all clients
• Add new clients with the "New Client" button
• Edit client information (pencil icon)
• Delete clients (trash icon) if they have no associated invoices

Managing Subusers

If you have a User role, you can:

• View all subusers
• Create new subusers with the "Create Subuser" button
• Edit subuser information (pencil icon)
• Delete subusers (trash icon)

Subusers have limited permissions to create invoices and manage clients.

Tenant Settings

The Tenant Settings page allows you to configure:

• Basic Information: Tenant name and email
• Business Information: Registration and VAT numbers
• Default Tax Rate: Standard tax percentage for invoices
• Contact Information: Phone number and address
• Branding: Slogan/tagline and company logo

User Menu

Click on your profile picture in the top-right corner to:

• Access your profile settings
• Log out of the system

Navigation

The left sidebar provides quick access to all main sections:

• Dashboard: Overview and quick actions
• Manage: Invoices, Clients, Subusers, and Settings
• Actions: Create Invoice
• Help: Documentation and Support
